WhatsApp Business: what most local business owners don't know how to set up

WhatsApp is the most widely used communication channel in Portugal. Most local businesses already use it — but as if it were a personal chat. WhatsApp Business has tools that automate responses, showcase your services, and make your business feel larger and more professional. And they're free.

WhatsApp Business vs. personal WhatsApp

Using your personal number for customer communication has an immediate problem: conversations get mixed up, there's no separation between personal and professional life, and you lose access to features that genuinely make a difference.

WhatsApp Business is a separate, free app available to any business. No subscription, no contract. You install it with a dedicated business number — this can be a second mobile number or even a landline.

The four features that change your day-to-day

1. Greeting message

Whenever someone messages you for the first time (or after 14 days of inactivity), they automatically receive a welcome message you configured. This is the simplest way to ensure no inquiry goes unanswered immediately — even when you're busy with a client.

2. Away message

Outside business hours, WhatsApp Business automatically replies with your pre-set message. You can include your opening hours, alternative contact options, or a link to your booking system. The customer knows their message was received and when to expect a reply.

3. Quick replies

Save responses to your most common questions as keyboard shortcuts. Type "/" and your list appears. A "/hours" shortcut can expand to your full opening hours message. This saves tens of minutes every day.

4. Product and service catalogue

Display your services with photos, descriptions, and prices directly within WhatsApp. When someone asks for information, share the catalogue item instead of typing everything out again. The customer sees structured, professional information and can ask directly about that specific service.

The most common mistake: using WhatsApp as a broadcast channel

WhatsApp is a direct communication channel — not a mass marketing channel. Sending unsolicited promotions to a contact list violates WhatsApp's terms of use and has the opposite effect: customers block you, report you, and the association with your business becomes negative.

WhatsApp works for: answering questions, confirming appointments, sending appointment reminders, and sharing information the customer requested. For promotional broadcasts, the right channel is email or, alternatively, the WhatsApp Business API — a more advanced version for higher volumes, but with associated costs.

Integration with your booking system

If your business has an online booking system, connecting it to WhatsApp makes sense. The customer books online and receives an automatic WhatsApp confirmation. They get a reminder 24 hours before the appointment. If they cancel, the slot becomes available for another client.

This level of automation doesn't require custom software development — tools like Calendly, Acuity Scheduling, or BookingKoala have ready-to-use WhatsApp integrations. Setup typically takes less than an hour.

Free WhatsApp Business is sufficient for most local businesses. The API version (paid) only makes sense when message volume is very high or when you need advanced automations — like multi-option bots. If you're starting out, start with the free version.

How to set it up in 20 minutes

  1. Install WhatsApp Business from the App Store or Google Play
  2. Register with your business number (you'll receive a verification SMS)
  3. Complete your profile: name, category, address, hours, website
  4. Set up your greeting message and away message under Business Tools
  5. Create 5–10 quick replies for the most frequent questions
  6. Add your main services to the catalogue
